Little Reservoir Consulting Ltd ("we", "us", "our") is committed to protecting your privacy and handling your personal data openly and lawfully. This policy explains how we handle the personal data of people who visit our website or get in touch with us about our services.

We are the data controller for the personal data described in this policy.

If you become a client, the personal data involved in providing our services to you is governed separately by our engagement letter and data processing agreement, not by this policy.

1. The personal data we collect

Depending on how you interact with us, we may collect:

  • Enquiry and contact details — your name, email address, telephone number, organisation, and anything you tell us when you contact us, fill in a form, or book a discovery call.

  • Website usage data — limited technical information collected automatically when you visit our site, such as your IP address and how you use the site (see the Cookies section below).

We only collect what we need for the purposes set out in this policy.

2. How we use your personal data, and our lawful basis

We use your personal data to:

  • respond to your enquiry and discuss whether we can help you — our lawful basis is our legitimate interest in responding to people who contact us, and taking steps at your request before entering into a contract;

  • keep a record of our correspondence with you — our lawful basis is our legitimate interest in keeping accurate business records;

  • understand and improve how our website is used — our lawful basis is your consent, given through our cookie banner;

  • send you occasional updates about our services, only where you have asked us to — our lawful basis is your consent, which you can withdraw at any time.

We do not use your data for automated decision-making or profiling.

3. Who we share your personal data with

We do not sell your personal data. We may share it with:

  • our website host, Wix, which stores and serves our website and handles enquiries submitted through our website forms;

  • Microsoft, whose Microsoft 365 services (Outlook and SharePoint) we use to receive, respond to, and store correspondence and enquiries;

  • our website analytics provider, Google Analytics, where you have consented to analytics cookies;

These providers process data on our behalf, on our instructions, under written agreements. We may also disclose personal data where we are required to do so by law.

4. Where your data is stored

Your personal data is stored within the UK or the European Economic Area wherever possible. Where any of our providers process data outside the UK/EEA, we ensure appropriate safeguards are in place as required by UK data protection law.

5. How long we keep your personal data

We keep personal data only for as long as we need it:

  • Enquiries that do not lead to an engagement — [e.g. up to 12 months] from our last contact, then deleted.

  • Correspondence and contact records — for as long as needed to maintain an accurate record of our dealings, then deleted.

  • Marketing contacts — until you ask us to stop or withdraw your consent.

  •

6. Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal data we hold about you;

  • ask us to correct data that is inaccurate or incomplete;

  • ask us to delete your data, or restrict how we use it, in certain circumstances;

  • object to our processing where we rely on legitimate interests;

  • ask us to transfer your data to another provider in certain circumstances; and

  • withdraw consent at any time, where we rely on consent.

To exercise any of these rights, contact us at info@littlereservoir.com.

7. Cookies

Our website is built on Wix and uses cookies and similar technologies, which fall into two groups:

  • Essential cookies are set automatically because the site needs them to function — for example, to keep it secure and remember your session. These do not require your consent.

  • Non-essential cookies, such as those that help us understand how visitors use the site, are only set where you agree to them through the cookie banner shown when you first visit.

You can accept or decline non-essential cookies through that banner, change your choice at any time, and control or delete cookies through your browser settings.

8. Keeping your data secure

We take appropriate technical and organisational measures to protect personal data against loss, misuse and unauthorised access.

9. Complaints

If you have concerns about how we handle your personal data, please contact us first so we can put things right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority, at ico.org.uk.

10. Changes to this policy

We may update this policy from time to time. The current version will always be available on our website, with the date it was last updated shown at the top.
